Manage Commitments

Feature Overview

A Commitment is a donation that automatically reoccurs on a set schedule, including weekly, biweekly, monthly, quarterly, semiannual, or annual. Commitments records can be viewed or managed on behalf of donors within the Finance>Commitments tab.


Filter Commitments

Within the Finance>Commitments tab, you may filter commitments by the following parameters:

  • Status: Active , Retrying, Inactive
  • Start/End Date
  • Amount
  • Frequency: Weekly, Biweekly, Monthly, Quarterly, Semi-annually, Annually
  • Payment Method: Bank Account, Credit Card, PayPal, Google Pay, Apple Pay
  • Origin Type: Direct (default), Conduit, Tandem
  • Contact Details: First Name, Last Name, Email

To Filter commitment data, follow the steps below:

  1. Click the Filter button in the upper right corner of the Commitments tab.
  2. Next, apply the desired parameters.
  3. Click Apply Filters.
  4. Then click the X in the upper right corner of the Filters drawer to view filtered results.
  5. Optionally, click Reset Filters to create a new filtered search.

View Commitments

To View the details of an individual commitment, hover over the Donor's Name, then click Actions>View.


Edit Commitments

To Edit a commitment record, hover over the Donor's Name, then click Actions>Edit. Be sure to click Save before exiting the Edit drawer.

Within the Edit drawer, you may adjust the following fields:

  • Name: First Name, Last Name, Middle Name, Title, Suffix
  • Email
  • Phone
  • Address
  • Employment: Occupation, Employer
  • Amount
  • Repeat (Frequency)
  • Day(s) of the Month: Select the day of the month the donor would like their commitment to be withdrawn on. If multiple dates are selected, the commitment will be charged on each date for each month going forward.
  • Every Month: Entering a number in this field will cause the commitment to occur every (X) amount of months. Example: Entering 3 in this field would cause the commitment to be charged once every 3 months.
  • End after number: Select a number from the dropdown to automatically deactivate the commitment after (X) withdrawals.
  • Or, until...: Select a date for the commitment to automatically be deactivated on.
  • Payment Method: Click Edit to add a new payment method on behalf of the donor. Alternatively, click the blue Send donor link to update to forward the donor an Update Payment Method email. This email enables the donor to securely update their payment method on their end.

Deactivate Commitments

To Deactivate (cancel) a commitment, hover over the Donor's Name, then click Actions>Deactivate.

To Reactivate a commitment, follow the same steps above.


Export Commitments

To generate a CSV Export of commitment records, click the Export button in the upper right corner of the Commitments tab. The file can then be downloaded to your device and opened in Excel/Numbers.

The CSV Export includes the following columns:

  • ID
  • Submission ID
  • Amount
  • Occurrences: How many time the commitment has been charged
  • Cumulative: Total giving
  • Action Page Name
  • Status
  • Frequency
  • First Name
  • Last Name
  • Address Line 1
  • Address Line 2
  • City
  • State
  • Zip
  • Country
  • Email
  • Created At: Date and Time the commitment was created
  • Deactivated At: Date and Time the commitment was canceled
  • Retrying: The system will try to process a commitment 4 times before the commitment will automatically be canceled
  • Cancellation Reason
  • Phone
  • Next Charge: Date and Time for the next withdrawal
